Have you ever wondered how to sign on a new client in your Concierge Business?

Holy Smokes! What a week we had signing on new clients for my concierge business.

I have to take a moment to share and give my team a huge shout out of THANKS!

What’s all the hub-bub about? Let me tell you …

Last week, the Task Complete Team brought in 10 new client projects!! Ah-MAZ-ing!

Everyone is booked and on the calendar. And I have to say it was a phenomenal group effort!

From a team perspective, I am so grateful for the commitment, communication, and flexibility that the team was able to offer to those clients.

From an office – or administrative perspective, I am so grateful for all of the systems that we have worked to put into place for just this reason! Having those systems to follow made the influx of inquiries and client commitments move forward smoothly and in a purposeful way.

Here’s how we sign on a new client. It starts with a simple inquiry form where we can gather the client details and information we need. It moves to having clear pricing and membership options. From there, it goes to a detailed and automated system to get commitments, schedules and payments. Upon completion of the work, we have a process to follow up and stay connected for future opportunities.

Without those client systems, we could have easily become overwhelmed, scattered or dropped the ball. Gratefully, we are instead welcoming those new clients to our Task Complete Family!

Having systems in place where A leads to B, B to C and so on… makes the process of connecting with a potential client and onboarding a new client, more efficient and effective. To the prospective clients we are talking with, we want to be seen as professional, comprehensive, knowledgeable (a leader in our industry!), attentive and caring. Those conversations, the information you share and the way in which you share it, are all part of the “first impressions” that they will make of you.

Here are some of my best tips for connecting with and onboarding a new client:

  • Set up a time convenient for your client.
  • Do a full “needs assessment” (what they need now, current issues and projects that they need done).
  • Have your client fill out a New Client Form.
  • Build a relevant client file that includes things like: who lives in the home, any pets to be aware of, important birthdays, favorite foods, flowers etc. (it’s a great way to surprise them with the occasional “thank you”).
  • Collect all relevant information from your client in order to complete a task. Such things could include getting an extra set of keys or garage codes. Or, where do the groceries go? Is there a spare room for storage? Is there a list of reliable service professionals they use?
  • Review all business policies with your “new” client.
  • Collect payment information. How will they pay for your services? Cash, check or credit card? Your clients may also ask for proof of insurance as well, so be sure to have that readily available too!

What I will say is this … a Confident Concierge is a successful concierge!

When you show up (on the phone or in person) prepared and confident, your client will immediately feel as if they are in good hands. It takes a lot for someone to reach out and ask for help, so it’s best for YOU to show up fully and let them know “everything is going to be ok”!
