Each week, I rely on a few key tools to keep my concierge business humming along smoothly. These tools don’t just help me manage tasks they help me save time, reduce chaos, and focus more on what matters most: serving our clients and growing the business.
And let me tell you upfront… You don’t need all these right away. When you’re first getting started in a senior concierge business, the only tool you need is your own voice talking to people, sharing what you do, and offering help.
But when you’re ready to grow, streamline, and expand these are the tools I swear by.
1. Canva
I love Canva.
We use Canva every single week to create visuals for our social media. My favorite way? Making personalized graphics for our 100K Club members these are women who’ve built thriving concierge businesses and are hitting those big goals.
We also use it to design Facebook banners throughout the year. Whether it’s for holiday sparkle, a new promo, or a seasonal refresh, Canva helps us keep things looking polished.
Best part? I used the FREE version for years. I only upgraded to the paid plan a few months ago, and even then it was worth every penny.
If visuals stress you out, don’t miss this post: Free Image Resources for Your Concierge Business. You don’t have to be a designer to look professional.
2. Slack
Oh, Slack. Game. Changer.
We introduced Slack into our local concierge business over 4 years ago, and it’s been one of the biggest upgrades for team communication.
Here’s why I love it:
No more email overwhelm (aka the pit of despair)
No more endless group texts blowing up our phones
Channels for everything from schedules to photos to client updates
And yes we still use the FREE version.
Slack is one of the tools I teach inside our 100K Platinum Group because as your business grows, your systems have to grow with you. This tool alone helped our team cut miscommunication and boost productivity fast.
3. Asana
This one’s for all my list-loving, color-coding, organized chaos queens.
Asana is a project management platform I started using almost 9 years ago. In the beginning, it was just for tracking client requests. But now? It’s the backbone of our operations.
We’ve documented over 50 systems inside Asana everything from onboarding to monthly billing to social media workflows. That clarity and structure? It helped me double my revenue from $100K to $200K in just 2 years.
All on the FREE plan, friend.

4. Facebook
Love it or hate it Facebook is where my ideal clients hang out.
That’s why it’s where I spend most of my marketing energy. We use Facebook to:
Build relationships
Share wins from the field
Post about our services and promotions
But I’ll be real here: Pretty posts and cute graphics don’t get you clients. YOU do. You still need to be visible, clear, and confident about how you help.
Not sure how to connect with your perfect clients? Marketing to Your Right Fit Client is one of the most important things you can read right now if you’re not getting traction online.
5. Stripe
Stripe is how we accept payments for our smaller offers like my book The Concierge Life or our Concierge Starter Kit.
We’ve also used PayPal and SquareUp in the past, especially for our local services. Choose what’s easiest to start with, then switch or upgrade as you grow.
Your systems don’t have to be perfect to work. They just have to work.
Final Thoughts (Real Talk)
Here’s the deal, my friend: NONE of these tools are necessary when you’re just starting out.
You don’t need Slack. You don’t need Stripe. You don’t need to build a 50-step system in Asana.
What you need MOST in the beginning? To get out there. Talk to people. Tell them what you do. Offer to help. That’s how I started. That’s how dozens of our students have started successful concierge services for the elderly and beyond.
When you’re ready to scale? Then add in these tools. One by one. Don’t overcomplicate it.
You got this.
